Understanding PPDA Registration for Suppliers

Public institutions in Malawi do not buy goods the way a private shop does. They are required to use suppliers who meet the rules of the Public Procurement and Disposal of Assets Authority (PPDA). For a company that wants to serve government, councils, parastatals and many NGO projects, PPDA registration is not optional paperwork. It is the door into that market.

Registration tells a procuring entity that the supplier is known to the authority, can be evaluated under public rules, and can be held to the standards that come with public money. Alongside it, a valid Malawi Revenue Authority Tax Clearance Certificate is usually required to show the business is compliant with tax obligations.

Why buyers ask for it

Procurement officers must demonstrate fairness, competition and accountability. Using unregistered suppliers exposes them to audit queries. That is why quotations, local purchase orders and tenders routinely list PPDA registration and tax clearance as mandatory. If those documents are missing, the bid is often set aside regardless of price.

What it means in practice

• You can be invited or allowed to quote for public contracts in your registered categories
• Your paperwork is easier to assess against other bidders
• Institutions can pay you through official procurement processes
• You still have to deliver quality, on time, at the quoted price

Registration is not a substitute for performance. A registered supplier that misses deliveries or supplies poor goods will not keep winning work. It is the licence to compete, not a guarantee of orders.
